WhatsApp has become the channel through which many businesses receive their questions, bookings and quote requests. The problem starts when they're always the same ones: opening hours, address, whether there's space. Answering them one by one, by hand, eats up a good part of the day.
That's what WhatsApp Business is for, a free app most businesses have installed but barely use beyond the basics.

What WhatsApp Business is
It's a different app from regular WhatsApp, built specifically for small businesses. You download it free from Google Play or the App Store, and it gives you tools to automate, organise and quickly answer customer messages.
You can use it with the number you already have or with a different one, if you'd rather keep personal and professional separate. Nothing changes for the customer: they message you just like any other contact. The difference is in what you can do from your side.
What the app includes
These are the main features that set it apart from the regular app:
The business profile. It lets you display your key business information: address, opening hours, email, website and a short description of what you do. It's the first thing someone sees when they message you for the first time.
The greeting message. It's sent automatically when a customer messages you for the first time, or when fourteen days have passed with no interaction. It's your chance to give out the information you get asked for most.
The away message. It switches on outside the hours you set. It replies on its own, at night or on closing days, saying when you open and when they'll hear back.
Quick replies. These are messages you write once and reuse whenever you need them, so you're not typing out the same everyday explanations by hand.
Labels. They're for organising your chats and sorting them by status, so you can find them easily and see at a glance which conversations are still outstanding.
The catalogue. It lets you show products or services with their photo, description and price inside the app itself, without having to send attachments.
How to get started
Setting all this up needs no technical knowledge and nothing to sign up for. The process is straightforward:
- Download the WhatsApp Business app from Google Play or the App Store.
- Create your business account. You'll need to pick a business category and add a profile photo.
- Fill in the profile with your address, opening hours, website and description.
- Set up the greeting and away messages with the information you get asked for most.
- Save the answers you repeat every day as quick replies.
It takes an afternoon, and you can do it all from your phone.
What you gain
The main benefit isn't just saving time, though you do save plenty. It's that the business always replies, at any hour, with the same information and no mistakes. Someone messaging on a Sunday night gets an immediate answer instead of silence, and that answer often contains exactly what they needed to make up their mind.
On top of that comes a more professional image: a complete profile, with visible opening hours and address, inspires considerably more confidence than a number with no information attached.
Replying quickly is often the difference between keeping the customer and watching them choose someone else.
